Position Summary

The Secondary Assistant/Grade Coordinator’s main responsibilities are as defined as insuring the students’ safety at all times and enforcing rules and regulations. As a grade coordinator, he/she is in charge of the daily overseeing of one or two grade levels, in terms of presence, punctuality, social interactions and academic progression, and implementation of the school rules, in constant liaison with the Director of Student Life, advisors, teachers, Specialized Support, the Secondary Assistant Secondary/Grade Coordinator, the Administration and parents.

To account for certain organizational demands, the Secondary Assistant/ Grade Coordinator must show flexibility in her or his schedule, in order to respond to occasional unexpected circumstances during the day, and if necessary, evening and/or week-end activities (such as meetings, special events and supervision of exams) requiring their presence.

Team spirit is key, as the Secondary Assistant/ Grade Coordinator work in a team, with the teachers, the administration, the other Secondary Assistants/ Grade Coordinators and the Director of Student Life.

At the Lycée, “the student is at the center of the system.” All staff is expected to set an example for the students, to provide encouragement, offer positive reinforcement, and show respect for each student, in accordance with the rules of the Lycée Français de New York. .

Student safety:

  • Active supervision of the floor and classrooms must be conducted between class periods and at the end of the day, unless the Secondary Assistant has been otherwise instructed.
  • In case of a teacher’s absence, the Secondary Assistant must take and communicate the attendance, distribute the work assigned and supervise the class during that hour. The class must never be left without supervision.
  • In the absence of the Attendance Coordinator, the Secondary Assistant must take charge of sick students, or call the School Assistant Secondary/Grade Coordinator, according to the gravity of the situation.
  • Secondary Assistants must actively ensure the smooth functioning of all emergency drills.
  • Secondary Assistants supervise the students during their snacks and lunch periods. This includes supervision of the cafeteria, lobby, mezzanine, drive-thru or other areas of the school, as needed.

Enforcement of the rules. Disciplinary action:

Secondary Assistants must show competence in assuring the rules of conduct, regarding behavior and work, are followed, while keeping a solid relationship of trust, guidance with students.

The Secondary Assistants, as any educator in the Lycee, assure proper behavior by the students and make sure the rules of the Students Handbook are duly observed. As well, they schedule sanctions when these rules aren’t followed.

Administrative functions:

  • Secondary Assistants check and update on a regular basis information posted in the corridors (such as rooms and classes schedules, rooms changes, posters related to special events, …)
  • Secondary Assistants, following their schedules, are present in the lobby between 7:45 am and 8:10 am (first bell) to welcome students, and from 8:10 am to 8:40 am to give them late passes.
  • Secondary Assistants proctor LFNY admissions tests as well as applications to other schools/summer programs.
  • Secondary Assistants participate in the organization of the Bac Blanc and Brevet Blanc exams (3eme, 1ere and Terminale), scheduling of proctoring and rooms changes, set-up of the rooms (SchoolDude request), labeling of the tables, preparing the attendance sheets, collecting and distributing the “sujets”, proctoring the exams, summarizing the number of proctoring hours for teachers, scheduling make ups, etc…)
  • Secondary Assistants help in the organization of various general recurring events in the school (Weekly Announcements, students delegates retreat, Talent Show, Open Mic, Fashion Show, etc…) and calendar related to appropriated grade level, like the visit of Y5 in Y6 (Y6 Grade Coordinator), orientation session for the 2de students (Y10 Grade Coordinator), the Career Fair for Y10 and Y11 (Y10 and Y11 Grade Coordinators), etc.
  • Secondary Assistants participate in different committees (technology, Prom, Prom fundraising, etc…) in agreement with their supervisor

As a Grade Coordinator – General guidelines

Administrative functions:

Grade Coordinators have a close dialogue with students of the grade(s) they are in charge of, and are therefore the intermediaries between families, students, teachers, and administration, during the entire academic day. Their duties include:

  • In the absence of the Vie Scolaire Attendance Coordinator, daily update of the absence and tardiness of each student in ProNote, as well as the explanation provided by the family.
  • Management of the family correspondence regarding absences, tardiness, and updating of each student’s file, preparing a bi-monthly attendance report in order to analyze it with the Director of Student Life and sharing information with appropriate members of the staff, when needed.
  • Keep track in a file of every document regarding student issues and be the primary contact/reference when prolonged issues with a student occur (to provide follow-ups to parents and administration).
  • Response to calls and e-mails from parents, and transmission of messages to students regarding changes of schedule, information on field trips, meetings, special activities, etc.
  • Scheduling appointments for the Director of Student Life with students and/or parents, summarizing a report of action plans, and organizing follow-up as needed.
  • Coordination and supervision of Grade assemblies
  • One meeting per cycle with grade advisors

Academic support:

  • Monitoring of the students’ academic performance, coordinating sanctions, addressing emotional issues (referring the student to the appropriate member of staff if needed, providing daily counsel as follow-up.
  • Conducting study halls (études encadrées) with Middle School students and daily study halls at the end of the day.
  • Preparing and participating in the Conseil meeting at the end of each semester.
  • Assisting the student delegates with their preparation to the Conseil meeting.
  • Participating in “Conseils de classes” at end of each semester.
  • Writing letters of recommendations when requested.
  • Working with student delegate committees on various projects as well as creating, organizing and overseeing the delegate retreat for their grade.
  • MCing the end of the year ceremonies by grade level.
  • Other as required
