The Assistant Manager, Community Events plays a pivotal role in the Lycée Français de New York’s (LFNY) Development department. Reporting to the Senior Manager of Community Events, the Assistant Manager is a broad-based role that will contribute to the strategy and execution of all fundraising and community events, as well as donor cultivation events. The Assistant Manager will also serve as an active member of the Development Team, collaborating on fundraising initiatives across the group and taking on additional responsibilities as needed.
ESSENTIAL JOB FUNCTIONS
The duties outlined below are considered to be the most significant responsibilities of the Assistant Manager of Community Events and are essential for effective performance in this position. Responsibilities include, but are not limited to:
LFNY Gala (40%):
Support the Senior Manager, Development team, and school volunteers with LFNY’s signature fundraising event, the annual Gala, which raises over $2 million annually in support of the school;
Working closely with the Senior Manager, implement goals and objectives regarding overall corporate participation, attendance, communication, and day/night of event logistics;
Manage all aspects pertaining to the auction including, outreach, data entry, and gift acknowledgement; maintain an accurate record of all items received, together with descriptions and values of all items;
Collaborate with an outside vendor to upload all auction information onto our mobile bidding site;
Oversee post-auction wrap-up including notifying all winners, collecting payment and managing auction item pickup;
Enter and maintain data in the appropriate data management programs; includes coding and entering donations/pledges, sponsorships, auction items and income, participants, volunteers and other required information to support the event;
Utilize data management tools in order to review and analyze pertinent information – monitor financials, solicits participation, and provides ongoing status reports;
Prepare correspondence, reports, spreadsheets, informational materials, and presentations using various graphic, database and word processing programs;
Plan and implement event-related activities individual giving, auctions and special appeals;
Identify candidates for volunteer roles. Recruit qualified candidates and articulate goals, outcomes and objectives to support activities leading up to and the day of the event.
Partner with Finance department to process and resolve event/project related expenses.
Community Events (40%):
Working closely with the Senior Manager, plan and execute 4 – 5 major community events, including Welcome Fair, Fall Community Day, Fall Festival, Skating Party and Spring Fair and associated smaller events, such as Volunteer Thank You Cocktail/Breakfast and Pre-Gala Cocktail;
Provide support and training to volunteers for these events;
Lead partnership with Parents‘ Association on planning for these events;
Collaborate with the Senior Manager to track deliverables and develop reports to ensure compliance in coordination with the Director of Development and the Finance Department.
Donor Cultivation (20%):
Working closely with volunteers, plan and execute 6 – 10 small-scale cultivation events annually in volunteers’ homes or private clubs;
Send invitations, manage RSVP process, create and circulate an event brief, manage guests’ requests, and ensure the smooth execution of these events;
Partner with the Annual Fund to identify and cultivate high-potential prospective donors;
Represent LFNY to donors, prospects, volunteers and other key constituents.
Complete other duties as assigned and appropriate
Bachelor’s degree required.
3 – 4 years of experience in event management, with a demonstrated capacity to manage relationships with high-level volunteers, donors and VIPs.
Prior experience working in a fast paced environment managing multiple demands and priorities.
Prior experience managing an auction a plus.
Must be detail oriented, have strong interpersonal skills, able to handle multiple tasks, with the ability to work both independently and collaboratively.
Excellent communication (oral and written) and interpersonal skills with proven ability to interact with a diverse range of individuals both in person and over the phone, applying tact and discretion as situations demand.
Ability to problem-solve and make decisions independently; ability to collaborate with others as part of teams.
Strong attention to details; demonstrated organizational skills.
Expertise in a variety of fundraising techniques, including face to face and telephone solicitation, special events, and direct response.
Knowledge and experience in gift processing, fundraising reporting, and analysis of prospects and donors.
Must have excellent knowledge of Raiser’s Edge.
Commitment to LFNY’s mission, vision and strategic direction.
French language skills desirable, but not required.
Ability to work evenings and weekends as required by events, meetings and cultivation events.
